Simmie Privacy Policy

Last updated and effective: October 8, 2026

This Privacy Policy explains how Sales Cog Inc. (“Simmie,” “we,” “us”) collects, uses and shares personal information through simmie.ai, coldcalr.com, the Simmie apps, APIs and MCP server, and related services (the “Services”). It should be read with our Terms of Service. Capitalized terms not defined here have the meanings in the Terms.

1. Who this policy covers and our role

  • Free Trial and individual users: Simmie decides how your information is used and is the “controller” of it.
  • Business customers: when a company buys Simmie for its team, Simmie processes its employees’ and contractors’ information on the company’s behalf. The company’s agreement with us (including any data processing agreement) controls that data, and Simmie acts as a “processor” or “service provider,” except for the uses permitted in Section 5.
  • Website visitors and prospects: Simmie is the controller of information collected on our websites and in our sales and marketing.

The Services are for adults using them for work. They are not directed to anyone under 18, and we do not knowingly collect information from children.

2. Information we collect

Information you give us

  • Account details: name, email, company, job title, team size, password or SSO identity.
  • Billing details: billing contact and address. Card numbers are handled by our payment processor, Stripe, and are not stored by Simmie.
  • Customer Content: call recordings and transcripts you upload, transcripts of field conversations from connected devices such as Plaud (we receive the transcript, not the audio), CRM data you make available through our MCP server or connected AI assistants to build simulations, documents, and the modules, personas and rubrics you build.
  • Simulation and coaching data: your voice audio and transcripts from simulations and coaching sessions, and your responses to Simmie Cue suggestions.
  • Onboarding and survey answers, including conversations with our AI survey agent, and any testimonial consent.
  • Communications with us, such as support requests and enquiries submitted through our website.

Information the Services generate

  • Outputs: scores, rubric evaluations, skill-gap reports, certifications, recommendations and coaching feedback.
  • Simmie Cue coaching data: the conversation state at each moment, whether a suggestion was triggered, the suggestion shown, whether you acted on it, and the effect on your score.
  • Usage data: features used, session length, credits consumed, timestamps, errors and performance data.

Information collected automatically

  • Device and log data: IP address, browser, operating system, pages viewed and referring URLs.
  • Cookies and similar tools, including session replay and analytics (such as Microsoft Clarity), advertising tags, and tools that identify the company a website visitor works for.

Information from others

  • Your employer or the organization that invited you.
  • Integrations you connect, such as CRMs, Slack, Zapier, Plaud, identity providers and AI assistants that call our MCP server.
  • Business contact and company data providers, used for sales and marketing (for example, to identify a visiting company and the right person to contact).

We ask you not to upload sensitive information, such as health, financial account or government ID data, unless your agreement with us allows it.

3. How we use information

  • To provide the Services: run simulations, score conversations, deliver Simmie Cue suggestions, generate reports and process payments.
  • To support, secure and debug the Services, and to prevent fraud and abuse (including multiple trial accounts).
  • To improve the Services and train our models, as described in Section 5.
  • To communicate with you about your account, product updates and changes to our terms.
  • For marketing, including emails about Simmie and outreach to business contacts who may be interested. You can opt out at any time.
  • To create aggregated benchmarks, such as average scores or typical improvement, that do not identify you or your organization.
  • To comply with law, enforce our Terms and protect our rights.

Legal bases (EEA and UK users): performance of our contract with you; our legitimate interests in running, securing, improving and marketing the Services and developing our models; your consent where we ask for it (for example, testimonials or certain cookies); and legal obligations.

4. AI features

Simmie’s personas, coaches and survey agent are AI, not humans. Scores and recommendations are generated automatically and can be wrong. Simmie does not itself make hiring, firing or pay decisions about anyone. If your employer uses Simmie results in decisions about you, your employer is responsible for that use, and you should contact them with questions.

5. Model training and service improvement

We use data to train, evaluate and improve the models behind Simmie, including our scoring, recommendation and Simmie Cue models. How we do this depends on your plan:

Model training data use by plan
PlanWhat we may use for trainingYour choices
Free Trial and individualTranscripts of your simulations and coaching sessions and the decisions derived from them (Simmie Cue suggestions and when they were triggered, whether you acted on them, and score outcomes), plus survey answers and usage data. Never audio. We remove direct identifiers (such as name and email) from training datasets where practicable.Don’t start a trial if you don’t agree. You may delete your account at any time; data already de-identified and used in a model may remain there.
Team (self-serve)De-identified transcripts and the decisions derived from them, plus usage data. Never audio.Account admins can opt out by emailing support@simmie.ai with the subject “Training Opt-Out.”
Annual and EnterpriseOnly de-identified data or as the customer’s agreement allows.Set in your agreement.

We train only on transcripts and the decisions derived from them, never on audio recordings, and we never train any model on voice biometrics. We do not create, collect or use voiceprints or other biometric identifiers for training, and nothing we train is designed to recognize, identify or clone an individual’s voice. We do not use your content to train models for other customers, and other customers cannot see your content. EEA and UK users can object to the use of their personal information for model training (see Section 9).

6. How we share information

We do not sell personal information for money. We share it only as follows:

  • Service providers that process data for us under contract: cloud hosting (Microsoft Azure), AI model and voice providers (including OpenAI, ElevenLabs and Cartesia, and other voice model providers we use from time to time), payment processing (Stripe), email delivery (Resend), analytics (Microsoft Clarity), identity and SSO (WorkOS), CRM and sales tools, and customer support tools.
  • Your organization: if you use Simmie through your employer, account admins and managers can see your simulations, scores, reports and usage.
  • Integrations you enable, such as a CRM, Slack, Zapier, Plaud or an AI assistant connected to our MCP server.
  • Business transfers, such as a merger, acquisition or sale of assets, subject to this policy.
  • Legal reasons: to comply with law or legal process, protect rights and safety, or investigate fraud or misuse.
  • With your consent, for example publishing a testimonial.

Some advertising and visitor-identification tools on our website may count as “sharing” or “targeted advertising” under certain US state laws. You can opt out as described in Section 9.

7. Voice data and call recordings

Simulations and coaching involve processing your voice. We use audio only to transcribe, respond to you in real time and score your performance. We do not use audio recordings for model training; training uses transcripts and the decisions derived from them (see Section 5).

We do not create voiceprints or other biometric identifiers to recognize who you are unless we first describe the feature and get your separate written consent, and we never use voice biometrics to train our models. For field conversations captured on connected devices such as Plaud, we receive only the transcript, not the audio. If you upload recordings or transcripts of real calls or use Simmie on live calls, you are responsible for giving notice to and getting consent from the other participants as the law requires.

8. Retention

We keep information only as long as needed for the purposes above:

Data retention periods
DataHow long we keep it
Account and billing dataWhile your account is active, then as required for tax and accounting (typically up to 7 years).
Simulation audio60 days after creation, unless your agreement says otherwise.
Transcripts, scores and reportsWhile your account is active, or as your organization’s agreement specifies.
Free Trial accountsDeleted after 90 days of inactivity.
Website enquiries and marketing contactsUntil you opt out or the contact is no longer relevant (up to 3 years).
De-identified data and trained modelsMay be kept indefinitely, since they no longer identify you.

When you delete your account or your organization ends its subscription, we delete or de-identify your personal information within a reasonable time, except where we must keep it by law. Deletion from backups may take longer.

9. Your choices and rights

  • Account information: update it in account settings or by emailing support@simmie.ai.
  • Marketing emails: use the unsubscribe link in any email. We will still send service messages.
  • Cookies and tracking: you can opt out of non-essential cookies, including visitor tracking, through our cookie settings, or manage cookies in your browser. We honor Global Privacy Control signals as an opt-out of sale or sharing where the law requires.
  • Model training: see Section 5.
  • Delete your account: in account settings or by emailing support@simmie.ai.

EEA, UK and Swiss users have the right to access, correct, delete, restrict or port their personal information; to object to processing based on legitimate interests, including model training; to withdraw consent; and to complain to their local data protection authority.

US state residents (including California, Texas, Colorado, Virginia and other states with privacy laws) may, as those laws provide, request access to or a copy of their information, correction, deletion, and opt-out of targeted advertising, sale or sharing. California residents may also ask about disclosures for direct marketing under California’s “Shine the Light” law. We will not discriminate against you for exercising these rights. You may use an authorized agent, and we may need to verify your identity. If we deny your request, you may appeal by replying to our decision.

If you use Simmie through your employer, we may refer your request to your employer, which controls that data.

To make a request, email support@simmie.ai with the subject “Privacy Request.” We respond within the time the applicable law requires (generally 30 to 45 days).

10. Website features

Talk to Simmie (AI voice concierge)

Talk to Simmie is an AI assistant, not a human. When you start a voice or text conversation, your audio or messages are processed by OpenAI to generate responses and captions. Voice mode requires microphone permission, and ending the conversation releases it. The feature does not save raw audio, transcripts or unsent drafts to a database or persistent browser storage; drafts and captions stay in tab memory until reset, reload or tab close. OpenAI processes data under its own terms and retention policies, which is not a promise of zero provider retention. Please avoid sharing sensitive or confidential information.

If you choose follow-up, you can review and edit your name, company, job title, work email, team size, business needs, optional phone and conversation summary. Only after you consent and submit are those details, recommended pages, source page and submission time emailed through Resend to info@simmie.ai. The full transcript is not included. Concierge content and personal fields are masked in Microsoft Clarity and are not sent in analytics events.

Analytics and visitor identification

We use analytics and session-replay tools (such as Microsoft Clarity) to understand how our site is used, and tools that identify the company a visitor works for so our team can follow up with relevant businesses. We may use advertising tags to measure our ads. These tools rely on cookies, and you can opt out of being tracked as a visitor through our cookie settings.

11. Security

We use administrative, technical and physical safeguards appropriate to the data we handle, including encryption in transit, access controls and hosting on Microsoft Azure. Enterprise customers may also use SSO and SCIM provisioning. No system is perfectly secure, and we cannot guarantee absolute security.

12. International transfers

Simmie is based in the United States, and we process and store information in the US and in other countries where our service providers operate. When we transfer personal information from the EEA, UK or Switzerland, we use safeguards recognized by law, such as Standard Contractual Clauses.

13. Changes to this policy

We may update this policy. For material changes, including new uses of your information, we will notify you by email or in the product at least 30 days before they take effect, and summarize what changed. Previous versions are available on request.
